Three receipts, one purchase summary
These fictional purchases show the summary sheet before any corrections. The Shell row is red because 46.00 plus 4.00 is 50.00, while the extracted total is 51.00. Open that image and check those three figures first. The coffee receipt includes a tip, which belongs in the total rather than the goods subtotal.
| Merchant | Date | Subtotal | Tax | Tip | Total | Currency | Check |
|---|---|---|---|---|---|---|---|
| Target | 2026-10-12 | 24.80 | 1.98 | — | 26.78 | USD | OK |
| Shell | 2026-10-12 | 46.00 | 4.00 | — | 51.00 | USD | Off by 1.00 |

How to convert receipts to Excel
Photograph or choose your receipts
Use Take photo at the counter, select pictures from your phone, or drop in an electronic receipt PDF. Put one receipt in each picture. A PDF page also counts as one receipt; keep each PDF within 20 pages.
Compare the numbers with the paper
Read the merchant and date, then inspect any red or gray row. Click a number to correct a recognition mistake. When you leave that cell, the calculation runs again. Expand Line items to inspect the purchases behind the subtotal.
Keep the workbook or either CSV
Save one Excel workbook containing the receipt summary and product details. If you need plain tables, download the summary CSV and line-items CSV separately. Both include the receipt number so you can match purchases to their source row.
What gets extracted
The Receipts worksheet contains one record per image or PDF page. Line items is a separate worksheet: it can contain several product rows for the same receipt. Numbers are numeric cells, dates are Excel date cells, and a missing printed value stays empty instead of becoming a guessed zero.
| Field | What it means | Example |
|---|---|---|
| Merchant, file and receipt number | Identify the shop and trace a row back to the image or PDF page you selected. | Target · receipt 1 |
| Transaction date | The purchase date, written in year-month-day order rather than the date you scanned it. | 2026-10-12 |
| Subtotal and tax | The printed goods subtotal and tax amount, with a separate flag for tax already included in prices. | 24.80 + 1.98 |
| Tip, fees and discount | Separate columns keep a restaurant tip, a service charge and a coupon from being confused with one another. | Tip 2.00 |
| Total and currency | The amount printed as the final total, and its currency code when it can be identified. | 26.78 USD |
| Check and difference | The arithmetic result and the signed difference: a positive number means the printed total is higher. | Mismatch · +1.00 |
| Item count and payment method | How many product lines were read and the payment label printed on the receipt, if present. | 2 items · Card |
| Product details | The second sheet lists receipt number, merchant, date, description, quantity, unit price, amount and currency. | Latte · 2 × 4.00 |
How the total check works
Subtotal + added tax + tip + service fees − discount = total
The comparison uses whole cents to avoid rounding artifacts such as 0.1 + 0.2. A discount reduces the expected total whether the receipt prints it with a minus sign or as a positive savings amount. Tax already included in the goods price is excluded from the addition. Tips and fees each have their own editable field.
If no subtotal is printed, complete item amounts can supply the base for the check. Without either a subtotal or a complete set of item amounts, the row is gray and says Subtotal not printed. A missing total also prevents a check. Extraction cut short by the processing limit stays marked incomplete even when the visible figures agree.
Product amounts are compared with the subtotal separately. An amber note says when the items add up to a different number; that alone does not turn the receipt red. Coupons applied to individual products, weighted groceries and grouped discounts can explain that difference. A red total may come from a misread digit, a fold through the tax line or a handwritten tip that was missed. Correct the printed value rather than changing a number simply to make the check pass.
Tips for photographing receipts
Flatten the paper on a contrasting surface and keep all four corners in view. Use even light from the side so your phone does not cast a shadow over the prices. Tap the text to focus, hold the camera parallel to the receipt and check that the final total is legible before uploading.
For a long supermarket receipt, move farther away and take one complete photograph rather than overlapping fragments. The tool does not stitch separate pictures into a single receipt. If the print is too small at that distance, a clear PDF scan may work better. Faded thermal paper needs particular care: improve the lighting and retake the photo, but expect missing digits to need manual correction.
Using the spreadsheet
In Excel, filter the summary by Date or Merchant to gather a trip's expenses, then sum the Total column for that selection. Keep different currencies in separate totals. The receipt number connects those purchases to the second sheet when you need to explain which products made up an expense.
You can open the workbook in Google Sheets or import either CSV as a separate tab. For reimbursement, add your own purpose, project or expense-category column after downloading. Accounting software that accepts CSV may require you to map the date, payee and amount columns; this is a general expense table, not a dedicated import template. For bank-feed transactions in QuickBooks, use the PDF to QBO converter with a bank statement.
Pricing for receipts
Start with 5 free receipts every day, including the combined workbook and both CSV downloads. Free receipt usage has its own allowance and does not consume your daily statement pages. Pro shares one credit balance across both tools: 1 credit = 1 statement page or 1 receipt. With credit available, you can process up to 20 receipts in one batch. Review the plans and credit packs for larger collections.
Receipt to Excel FAQ
Can I scan receipts to Excel for free?
Yes. Each day you can extract 5 receipts without registering, including combining those receipts into one workbook. This allowance is separate from the 10 free statement pages. The tool processes only the receipts that fit your remaining allowance.
Which files and iPhone photos can I use?
JPG, PNG and receipt PDFs are supported. You can also take a new photo with your phone. Other image formats depend on your browser: if an iPhone HEIC photo cannot be decoded, save it as JPG or PNG first. Each file may be up to 20 MB.
How is a PDF containing several receipts counted?
Every PDF page uses one receipt credit or one free receipt. A four-page PDF therefore counts as four. A PDF may contain up to 20 pages. If several receipts are pasted onto the same page, only the most prominent one is extracted; provide separate pages for separate receipts.
Does this convert foreign currencies or change date formats?
Amounts stay in the currency on the receipt; no exchange rate is applied. Currency is recorded as a three-letter code when the symbol and merchant location identify it. Dates are normalized to YYYY-MM-DD. An uncertain currency or unreadable date is left blank, so compare it with the original.
What happens when VAT or GST is included?
An explicit statement such as VAT included, incl. GST or TTC sets the Tax included flag. The tax is retained for reference but is not added to the subtotal a second time. You can change that flag in the preview if it was read incorrectly.
Are my receipt pictures saved?
Receipt images, extracted text and results are not stored in our database or application logs. Photos are resized in your browser; the resized images or PDF text are sent to Claude Haiku through OpenRouter routed to Amazon Bedrock, with Cloudflare Workers AI as a fallback. AI gateway content logging and caching are disabled. PDF passwords remain local.
Where do I convert a bank statement?
Use the bank statement PDF to Excel converter for an account's transaction list and running balances. This receipt scanner creates a purchase summary and product lines instead; it does not turn a receipt into a bank feed.
Does an OK check guarantee an accurate receipt?
No. OK confirms the arithmetic using the values that were read. A mistaken merchant, missing product or two matching number errors can still pass. Red rows show a total difference; gray rows need information or have incomplete extraction. Compare important fields against the source before claiming an expense or using the sheet for bookkeeping.
