How to convert a PDF bank statement to QBO
Add the PDF
Drop in the bank statement as a text PDF, a scan or a phone photo (up to 20 MB, 50 pages). If the PDF has a password, you type it here and the file is unlocked locally.
Check the flagged rows
The converter recalculates the balance after every transaction. Any row where the printed balance disagrees, or where a date or amount is missing, is marked so you can compare it with the paper statement.
Save the .qbo file
Type the account digits you want QuickBooks to remember, download the Web Connect file and import it into QuickBooks Online or Desktop.
Two meanings of QBO
QBO file or QuickBooks Online?
"QBO" means two things in bookkeeping. QuickBooks Online is often shortened to QBO, and .qbo is also the file extension of a Web Connect file, the download banks offer for QuickBooks. This page creates the file. The file works in both editions: QuickBooks Online reads it through Upload from file, and QuickBooks Desktop reads it through Web Connect import.
Why not a spreadsheet? A Web Connect file needs no column mapping. QuickBooks already knows which field is the date, the payee and the amount, and each transaction carries an ID (FITID) that QuickBooks uses to skip transactions it has seen before. If you would rather map columns yourself, the same conversion also gives you an Excel or CSV download.
INTU.BID
The bank ID inside a QBO file
A plain OFX file and a QBO file differ mainly in one line: <INTU.BID>, the bank ID QuickBooks Desktop looks up in Intuit's list of banks that support Web Connect. A file from your own bank carries that bank's number. A file converted from a PDF has to carry a number QuickBooks will accept.
We write 3000 by default. It belongs to a large US bank that Desktop accepts for checking and savings accounts, and it is a common choice for converted files. Two things follow from that, and we would rather you hear them here than in an error message:
- QuickBooks Desktop may show that bank's name on the import screen. It is only a label: you still pick, or QuickBooks remembers, the account the transactions go into.
- Intuit can change its bank list at any time. If Desktop ever answers "unable to verify the Financial Institution information", open the Bank ID field in the converter, enter the INTU.BID number from a .qbo file your own bank issued, and download again.
QuickBooks Online does not check the bank ID when you upload a file, so this only matters for Desktop. We have not been able to test every QuickBooks Desktop setup; if a file does not import, the CSV download works with QuickBooks Online's CSV upload.
Import steps
Import the QBO file into QuickBooks
QuickBooks Online
- Go to Transactions → Bank transactions (Banking in older menus).
- Open the Link account ▾ menu and choose Upload from file.
- Drag in the .qbo file, or click Browse files, then Continue.
- Pick the QuickBooks account that matches the statement and click Continue.
- Transactions land in the For review tab. Categorize or match them, then Add.
Online accepts up to 1,000 transactions and 350 KB per file.
QuickBooks Desktop for Windows
- Back up the company file: File → Back Up Company → Create Local Backup.
- Choose File → Utilities → Import → Web Connect Files.
- Select the .qbo file and click Open.
- The first time, choose Use an existing QuickBooks account and pick the bank account; QuickBooks links that account number for later imports.
- Review the downloaded transactions in Bank Feeds (or the register in Classic mode) and add them.
QuickBooks Desktop for Mac
- Choose File → Import → From Web Connect.
- Select the .qbo file and choose the account to link.
- Review the downloaded transactions and add them to the register.
Troubleshooting
QuickBooks QBO import errors and fixes
| Message in QuickBooks | What it usually means | What to do |
|---|---|---|
| QuickBooks is unable to verify the Financial Institution information for this download. | Desktop does not accept the bank ID in the file, or does not allow it for this account type. | Enter the INTU.BID number from a .qbo file your own bank issued in the Bank ID field and download again. QuickBooks Online users will not see this. |
| QuickBooks found an error. We can't read the file [your bank] sent. | The file was changed after download, often by opening and saving it in Excel or a text editor, or it is not a Web Connect file. | Download the .qbo again and import it without opening it. Do not rename a CSV or OFX file to .qbo. |
| Error OL-222 | The file contains characters QuickBooks rejects; an ampersand (&) in a payee name is the usual one. | Our QBO files spell & as "and", so a fresh download should import. If you edited the file, download it again. |
| To download and import transactions, sign in with your Intuit account | Bank Feeds is in Advanced mode, which needs an Intuit sign-in for Web Connect imports. | Sign in, or switch to Classic mode: Banking → Bank Feeds → Change Bank Feeds Mode. |
| The file imports into the wrong account without asking | QuickBooks already linked this account number to another QuickBooks account. | Use different account digits in the converter for each real account, or remove the old link: Lists → Chart of Accounts, select the account, Edit → Edit Account → Bank Feed Settings → Deactivate All Online Services. |
| Web Connect import stops working in an older Desktop version | Intuit turns off online banking services, Web Connect included, for Desktop versions about three years after release. | Update to a supported version, or use the CSV download with QuickBooks Online. |
| QuickBooks Online rejects the upload as too large | More than 1,000 transactions or over 350 KB in one file. | Split the PDF into smaller files, for example one month per file, and convert each. |
| Currency does not match | QuickBooks US only imports USD files; QuickBooks Canada accepts CAD or USD. | Use a QuickBooks company in the statement's currency, or the CSV download. |
The messages above are the ones QuickBooks users ask about most often in the QuickBooks Community and Intuit's Web Connect troubleshooting article. Back up your company file before the first import so you can undo it.

Sample: the same fictional checking statement as a QBO file
Converted from a 3-page fictional statement with 35 transactions (2026-08-02 to 2026-08-31), the QBO file opens with the sign-on block below. It is identical to an OFX header except for the FI block and the INTU.BID line. Balances reconcile, so LEDGERBAL is -$2,197.71.

PDF to QBO FAQ
Is the PDF to QBO converter free?
You can convert 10 pages a day without an account, and the QBO download costs nothing extra. Pro adds more pages and batch conversion of up to 20 statements.
Is a QBO file the same as an OFX file?
Almost. A QBO file is an OFX 1.02 file with Intuit's INTU.BID bank ID added, which QuickBooks Desktop requires. QuickBooks Online accepts both, but Desktop's Web Connect import only takes .qbo.
Why does QuickBooks show a different bank name when I import?
QuickBooks Desktop shows the bank that owns the bank ID in the file. We use 3000 by default because Desktop accepts it for bank accounts. The name is only a label; you choose the account the transactions go into. You can enter your own bank's ID instead.
Will importing the same statement twice duplicate transactions?
Each transaction gets a FITID made from its date, amount and description, so the same text PDF produces the same IDs and QuickBooks skips ones it already downloaded. A scan can be read slightly differently on a second pass, so review the For review list before adding.
Can I convert a credit card statement to QBO?
The QBO file is written as a bank account statement, so import it into a checking or savings account. For a credit card account, use the CSV download and QuickBooks Online's CSV upload.
Does it work with scanned bank statements?
Yes. Scans and photos are read with image recognition, then go through the same balance check. Scans have more recognition errors, so look at any highlighted rows before you download the QBO file.
Do you keep my statement or the QBO file?
No. The original PDF and its password never leave your browser. Only extracted text and images of scanned pages are sent for conversion and are not stored. The QBO file itself is created in your browser.
